1. Booking & Journey Terms
1.1
You will automatically receive a ‘Scotland Executive Hire Journey Acknowledgement’ email for the journey you have paid for. You are responsible for checking that all details provided to us are correct.
1.2
You will manually receive a ‘Journey Details’ email once your journey has been assigned to a driver. This will include pick-up instructions and the driver’s contact number. Scotland Executive Hire will not issue a refund if you fail to take these details with you.
1.3
Scotland Executive Hire accepts no responsibility for missed flights for any reason, including but not limited to traffic delays, accidents, breakdowns, severe weather, or unforeseen circumstances.
1.4
We advise all passengers to plan to arrive at the airport 2 hours prior to departure to allow for unexpected delays. Scotland Executive Hire will not accept responsibility for missed flights where the 2-hour check-in time was not allowed. If you choose to travel with less time, you do so at your own risk.
1.5
Passengers are advised to have adequate travel insurance before booking.
1.6
We will not refund any costs if a passenger chooses not to wait for their assigned driver and instead uses alternative transport.
1.7
Scotland Executive Hire is not responsible if passenger or luggage requirements exceed the capacity of the booked vehicle. If unsure, please contact our customer support team at info@scotlandexecutivehire.co.uk.
1.8
All luggage must be placed in the vehicle’s boot/trunk in accordance with safety, insurance, and licensing regulations. Luggage cannot be placed on seats or footwells. If your luggage does not fit, the driver cannot continue the trip. If no additional vehicle is available, the booking will be cancelled with no refund.
1.9
Scotland Executive Hire reserves the right to refuse carriage of animals (except guide/service dogs) that were not pre-approved at booking. All animals must travel in appropriate carriers. We accept no responsibility for costs due to breach of these conditions.
1.10
The driver will determine the route on the day of travel. Alternative routes may be requested but are at the driver’s discretion.
1.11
Please ensure you provide your arrival time in the UK, not your departure details. We do not monitor outgoing flights.
1.12
If your flight is severely delayed, please inform us immediately.
1.13
Scotland Executive Hire uses its own vehicles wherever possible but may use trusted third-party operators when required.
1.14
We reserve the right to provide an upgraded vehicle at no extra cost if your chosen car type is unavailable.
1.15
Bookings made between:

00:00 on 24th December to 23:59 on 26th December, and
-
00:00 on 31st December to 23:59 on 2nd January,
will automatically be charged at double fare (already displayed at time of booking).
1.16
If we cannot fulfil your booking, you will be informed as soon as possible and issued a full refund. Refunds may take 1–3 business days depending on your bank. Scotland Executive Hire is not responsible for additional costs incurred due to arranging alternative transport.
2. Policies & Notices
Waiting Time
2.1 Airport Collections
We allow 1 hour of free waiting time from the moment your flight lands. After this, waiting time is charged at £0.50 per minute, payable directly to the driver. Drivers may refuse travel if waiting charges are not paid.
2.2
No compensation is offered if you are ready earlier and must wait until the scheduled pickup time.
2.3
Unless stated otherwise in writing, we will assume a “standard” airport collection.
2.4 Other Journeys
For non-airport journeys, waiting time is charged at £0.50 per minute, starting 5 minutes after scheduled pickup or during en-route stops.
3. Grace Period
3.1
Drivers may occasionally run late due to circumstances beyond control. A grace period applies.
3.2 Airport Collections
A 1-hour grace period applies if the driver is late.
If you leave before the grace period ends, no refund will be issued.
If the driver does not arrive by the end of the grace period and you arrange alternative transport, contact us for a full refund.
3.3 Non-Airport Collections
A 15-minute grace period applies under the same rules as above.
4. No Shows
4.1
A booking is marked as No Show if you fail to appear within 15 minutes of the scheduled time. Drivers will attempt to contact you. If you request additional waiting, waiting charges apply. If the driver’s schedule does not allow additional waiting, they may leave and the booking will be marked as No Show.
No refunds apply.
5. Tolls & Parking
5.1
All tolls and parking charges are included in instant online quotes.
6. Amendments
6.1
Amendments must be made via email or phone and confirmed by email.
Changes requested within 2 hours of pickup may not be accommodated.
7. Re-Booking
All bookings must be made via our website, email, or phone to ensure confirmation and insurance coverage.
8. Cancellation & Refund Policy
Cancellations
8.1
Cancellations are accepted with 24-hour notice. No admin fee applies.
8.2
If you do not receive a cancellation confirmation email, we have not received your request.
Refunds Not Issued In the Following Cases

8.5 Passenger No-Show or driver unable to wait beyond 15 minutes

8.6 Less than 24-hour cancellation notice

8.7 Amendments requested within 2 hours that cannot be accommodated

8.8 Leaving before grace period ends

8.9 Luggage exceeding vehicle capacity

8.10 Refusal to pay waiting charges

8.11 Passenger intoxication

8.12 Verbal or physical abuse (may lead to prosecution)

8.13 Other cases handled individually by customer service
9. Complaints
9.1
Complaints must be submitted within 30 days by replying to your booking confirmation email.
9.2
Calls may be recorded for training and quality purposes.
Use of the Passenger Booking App
You must be 18+ and a UK resident to use the app.
Scotland Executive Hire grants a non-exclusive, non-transferable, revocable licence to use the app for personal, non-commercial use on supported devices.
Mobile data charges may apply based on your network provider.
By using third-party services (Apple, Google), you agree to their terms and privacy policies.
Intellectual Property
All Scotland Executive Hire names, logos, trademarks, and related graphics are the property of Scotland Executive Hire Ltd.
Other trademarks appearing in the app belong to their respective owners and may not be used without permission.
Prohibited Uses
You must not use the app for anything that is:

unlawful or unauthorised

defamatory
-
offensive or obscene
-
discriminatory
-
infringing on others’ intellectual property
-
harassing, misleading, or harmful
-
disruptive to our services
-
related to criminal activity or cyber misuse
Indemnification
You agree to indemnify Scotland Executive Hire against any breaches of these App Terms.
No Guarantees
The app is provided “as is”, without warranties of accuracy, performance, or uninterrupted use.
Limitation of Liability
Scotland Executive Hire is not liable for:

loss of profits

data loss or corruption
-
device malfunction
-
inability to use the app
-
indirect, special, or consequential damages
Total liability will not exceed £50, unless otherwise required by law.
General
These terms are governed by the laws of Scotland.
Any disputes fall under the jurisdiction of Scottish courts.
If any provision is found invalid, remaining terms continue in full effect.
